Client: a company client of Kelmer, buying freight services from Carriers

Carrier: freight supplier selling services to Client

Kelmer: consultancy company supporting Client in freight procurement

KFA: the software to be developed able to perform freight audits


1.Carrier database

Relevant Carriers are registered in KFA

Possibility to include wide company profile including f.e.

  • Type of available services (FTL , groupage, courier etc )
  • Fleet description
  • Etc etc


2.Rates management

Price lists of the Carriers are entered and stored in KFA


  1. Carrier report  

Carriers are providing xls report corresponding with Invoices

  • Shipment number
  • Loading date
  • Ship from address
  • Shipment description (kg, m3, pallets etc etc )
  • Ship to address
  • Delivery date
  • Cost of the shipment (= Invoice)
  • KPI values (on time delivery, damages, losses etc)

Reports are uploaded in KFA

Possibility for Carriers to upload reports autonomously

Note: many extra costs item, not depending on freight, shall be also uploaded (demurrage, documents fee, custom etc etc)


  1. Client report

Client is providing its report from ERP , of the same period of the Carrier report


KFA shall:

  1. Identify differences between Client and Carrier reports
  2. Calculate single shipments costs according to Rates
  3. Comparison calculated costs vs Invoiced costs (Overcharges)
  4. Comparison calculated costs with different price lists (savings)
